SOP & Guidelines

UTP 26th Convocation Ceremony

Dress Code & RFID Tag

All graduates must adhere to the official convocation dress code and wear the designated convocation robe with the RFID tag securely attached. The RFID tag is individually assigned and is critical for name display and procession tracking. Do not exchange robes or RFID tags with others.

Entry Passes

Please ensure that the two official entry passes provided are given to your parents, guardians, or designated guests. No additional passes will be issued.

Arrival & Assembly

All graduates must assemble punctually at Blocks 19–23 by 7:30 AM, fully attired in their convocation robes. The specific queuing list and line-up arrangement will be shared during the Convocation Rehearsal.

Check-In Procedure

Upon arrival, immediately proceed to Block 23 to check in using your RFID tag. Only graduates who have registered and checked in on time will be permitted to join the formal procession.

Line-Up Sequence

Graduates will be arranged in a precise sequence according to the official queuing list. Strict compliance is required to maintain ceremony order.

RFID Tag Compliance

The RFID system is implemented to ensure accurate recognition and a secure flow during the ceremony. Any tampering, swapping, or absence of the RFID tag may result in the incorrect display of names or exclusion from the procession.

Ceremony Protocol

During the conferment segment, graduates’ names will be announced in the following order:

  • Doctor of Philosophy
  • Master’s Degree
  • Bachelor’s Degree

Upon hearing your name, promptly approach the Chancellor or Pro-Chancellor, bow respectfully, receive your scroll with both hands, and clearly say, “Thank you.” Then return directly to your seat.

Conduct During Ceremony

Graduates and guests must remain seated throughout the entire ceremony. Early exit is strictly prohibited except in the case of an emergency and with approval from event officials.

Pre-Ceremony Reminder

Please have your breakfast prior to arrival. No food or drinks will be permitted during the ceremony.
